Automatic Degree Awarding

Information Needed Before Conferral Date and Auto Awarding

  • Correct Graduation Application Date
  • Specializations
    • GPCs must let the Graduate Registrar know if there are specific specializations associated with any of the degrees in their programs, so that they can be added to Banner, or they will not show on the student’s official transcripts when they graduate and are closed out.
      • In Banner it will be under concentration.
      • Please send the students’ names and A#s, along with the specific specializations that need to be entered.
  • Catalog year (The Student’s Catalog Year)
    • The catalog year must match the student’s start date and the program requirements as listed in the Program’s Catalog.
  • Transfer Credits
    • For transfer credits to be articulated, the student must have an approved program of study listing the transfer credits and the GPC must submit an SGS Transfer Credit Articulation form.
  • Split Form
    • A split form is needed for any undergraduate student who has been admitted to the Graduate school and wishes to split out credits from one degree to the other.
    • This can only be done while the student is currently in their undergraduate degree.
      • No SPLIT forms will be approved once a student has graduated with their undergraduate degree.

Process for Automatic Degree Awarding

  1. PreAward Preparation
    • Verify student information: graduation date, specialization, catalog year, and Degree Works progress.
    • Degree Works should be near 100%, pending final grades.
  2. Initial AutoAwarding Pass
    • SGS Registrar pulls ARGOS report showing all candidates and Degree Works percentages.
    • GPCs review and flag students not eligible for the current semester.
    • After final grades are due, SGS Registrar pulls updated report showing missing grades.
    • GPCs confirm all grades are submitted.
    • SGS Registrar processes autoawarding for students at 100% and approved by GPCs.
    • Confirmation emails are sent.
  3. FollowUp Awarding Passes
    • SGS Registrar pulls report daily for remaining students.
    • SGS Registrar awards degrees and verifies profiles/transcripts.
    • A final report is generated; GPCs confirm accuracy.
    • Any remaining students are manually awarded.
    • Students who do not reach 100% by the degree award deadline will be moved to the following semester.
