GPC Duties

NOTE: GPC duties are not necessarily limited to the ones listed below; some of these duties may vary based on the GPC’s department:

  • GPCs/GPDs maintain a knowledge of graduate student and department policies and procedures to effectively support USU graduate students and program faculty and act as the liaison with the School of Graduate Studies (SGS).
  • Provides friendly and knowledgeable first contact with interested students.
  • Timely and accurately responds to student questions and directs students to correct resources.
  • Reviews graduate program applications in university application software such as Recruit.
  • Professionally contacts applicants with missing information.
  • Timely distribution of completed applications to faculty.
  • Coordinate faculty decisions on applications and process through the system.
  • Tracks Students
  • The program GPC(s) tracks and maintains an up-to-date and accurate database of all admitted students throughout their entire program including department metrics as requested.
  • Assures that all forms and files (e.g. Supervisory Committee Approval, Program of Study, Appointment for Examination, Candidacy, Research Competencies, Teaching/Graduation Assistant evaluations, Plus 20) are approved and in place for each student according to SGS deadlines.
  • Tracks students with low GPA.
  • At the end of each semester the Graduate Registrar pulls a report of all graduate students who have fallen below the 3.0 required GPA.
    • The Low GPA form is initiated by the School of Graduate Studies and must be completed by the GPC.

  • Maintains accurate listing of completed students.
  • Professionally corresponds with students providing information and reminders of policies, registration, and graduation.
    • Assist students with registration and department policies and procedures.
  • Initiates graduate tuition waivers and insurance according to college and university practices each semester (NOTE: This may be different in every department).
    • Assures students meet the tuition waiver requirements.
  • Explains policies to students and coordinates with business services as needed.
  • Positively engages in training and meetings provided by their college or the School of Graduate Studies.
  • Acts as the department liaison with SGS and maintains a complete knowledge of policies.
    • Notifies the department of changes and works cooperatively with faculty to resolve issues.
  • Organizes and assists with graduate student orientation.
  • Communicates and assists with recruiting initiatives and events.
  • Maintains FERPA training as needed and maintains the confidentiality of student records.
